How to launch an ambassador programme

What it is for

The procedure How to launch an ambassador programme takes the administrator from zero to a working programme: ambassadors have their links, purchases earn them commissions and you pay them out. The programme touches several modules — products, websites, permissions and ambassador — so the steps are in the order in which they need to be done.

Before you start

  • Your organization's plan must include the ambassador programme — otherwise Ambassador is not in the menu (see Subscription).
  • You need permissions in the Ambassador module (Settings → Create, Users → Create and Edit, Payouts → Edit), the permission Permissions → Edit and permissions to edit products or websites.
  • You must have something to sell: a product in the online shop and a page or funnel where it is sold.

How to launch an ambassador programme

Step 1: Create a level with a commission rate

  1. In the left menu click Ambassador → Settings.
  2. In the Levels section click Create level.
  3. Fill in Name (e.g. Basic) and Commission Rate (e.g. 10 for 10 %).
  4. The first level is the default automatically. Click Create.

In detail: Settings → How to create a level.

WARNING

The default level must have a rate greater than 0 %, otherwise ambassadors earn nothing.

Step 2: Enable products for ambassadors

The commission is calculated only from products that have the Ambassador column ticked on a variant.

  1. In the left menu click Sales → Products and click the product.
  2. In the Variants section tick the Ambassador column for the variant.
  3. If the commission should be calculated from a different amount than the selling price (for example from the margin), click Change next to the ticked Ambassador and enter the amount in the Ambassador base window.
  4. Save the product.

In detail: Products → How to allow selling through ambassadors.

Step 3: Enable pages for ambassadors

Ambassadors can generate a link only to pages you enable for them.

  1. Open the website in Studio (see Website and pages).
  2. In the Pages section click the page ambassadors should send people to.
  3. In the left column switch to the Settings tab.
  4. In the The page card switch on Enable in Ambassador module.
  5. Click Save at the bottom.
  6. The website must be published (see Publishing) — pages of an unpublished website are not offered to ambassadors.

Published funnels are offered to ambassadors automatically; there is nothing to switch on. A link to a product (Step 2) works even without this step.

Step 4: Give ambassadors access to their section

  1. In the left menu click Organization → Permissions.
  2. Click the role the ambassadors will have:
    • with self-registration it is the role Member,
    • when promoting an existing member, their current role.
  3. In the Ambassador module tick Personal ambassador section → View.
  4. Click Save.

In detail: Permission matrix.

Step 5: Add ambassadors

There are two ways, and they can be combined.

A. Promoting an existing member — the ambassador is active right away:

  1. In the left menu click Ambassador → Users.
  2. Click Create ambassador and select the member in the Select user field.
  3. Click Make ambassador.

B. Registration link — the ambassador signs up themselves and you approve them:

  1. In the left menu click Ambassador → Settings.
  2. In the Registration link section click Copy to clipboard and send the link to people.
  3. After they sign up you receive the e-mail New ambassador registration.
  4. In Ambassador → Users, tab Pending, click the ambassador.
  5. In the Details card set Status to Active.

In detail: Users.

The ambassador:

  1. In the left menu clicks Ambassador → My Affiliate Link.
  2. In the Link Generator chooses the Type and the item and clicks Generate.
  3. In Saved links clicks Copy link and shares it.

In detail: My Affiliate Link.

Step 7: Track commissions

  1. In the left menu click Ambassador → Purchases.
  2. Commissions from unpaid orders are in the Pending tab, those from paid ones in Approved.

A commission is approved on its own once the order is paid. You approve it manually with the Approve icon (see Purchases).

Step 8: Pay out

  1. The ambassador requests a payout in Ambassador → My Wallet with the Pay out button.
  2. You receive the e-mail New payout request.
  3. You send the money outside the app.
  4. In Ambassador → Payouts, tab Requested, click … → Approve Payout in the row.

In detail: Payouts.

How to check it works

  1. As an ambassador, generate a link to a product and copy it.
  2. Open it in a private browser window and place a test order with an e-mail other than the ambassador's (the ambassador's own purchase does not count).
  3. In Ambassador → Purchases a Pending commission appears; after payment it is Approved.
  4. In Ambassador → Referrals the test customer is assigned to the ambassador.
  5. The ambassador sees the amount in My Wallet → Available.

Common questions and problems

The ambassador does not see Ambassador in the menu. Step 4 is missing.

The ambassador has a blurred screen. They are not Active — Step 5B, point 5.

The ambassador has nothing to choose in the generator. Step 2 or 3 is missing.

The order went through, the commission did not. The product does not have the Ambassador column ticked on a variant (Step 2), the level has a 0 % rate (Step 1), or the customer bought in a different browser or after 30 days.
