Handling a new lead from the website
What it is for
When someone fills in a form on your website, in a funnel or on a landing page, the application writes them into the CRM by itself: it finds the client by email or creates a new one and creates a deal for them in the New status. This procedure shows how to find such a lead, assign it to a salesperson, plan the first contact and put it into a group.
Before you start
| What must exist | Where to prepare it |
|---|---|
| a published form on the website, in a funnel or on a page | Forms |
| rights in the CRM module: Clients – View and Edit; Deals – View and Edit; Tasks – Create and View (without View the Assignee field is missing and the task is assigned to you) | Permission matrix |
| (optional) an automatic group with the Submitted a form condition | Groups |
Step 1: How to find new leads
- In the left menu click CRM → Deals.
- Click the Unassigned tab.
- Click Filters, in the Status field choose New and click Done.
A deal from a form is named after the funnel, page or form. The steps of one funnel on the same day are in one deal.
You can also find clients from forms in CRM → Clients via Filters → Source → Form submission or Landing page.
Step 2: How to assign the lead to a salesperson
- Click the deal's row – the detail opens.
- Click the pencil icon at the top right (Edit).
- In the Owner field select the salesperson and click Save.
- Close the detail with Close and in the list click the client's name in the Client / Owner column – the client detail opens.
- On the Overview tab in the Contact information card click Assign next to Sales Rep, select the same salesperson and click Save.
Assign several leads at once in CRM → Clients: tick them and use the Bulk assign salesperson icon – see Clients.
Step 3: How to see what the lead filled in
- In the client detail on the Overview tab click Show more.
- The Details window contains the Source (form or page) and, in the Filled form data part, all of the client's answers.
Step 4: How to plan the first contact
- Open the deal detail.
- Click Task, fill in the Title (e.g. “First call”), Assignee and Due Date.
- Click Create.
If you assigned the task to someone else, they receive a notification. The assignee sees the task in CRM → Today once it is due.
How to check that it works
- CRM → Deals, Unassigned tab – the lead is no longer there.
- The salesperson sees the deal on the My deals tab and the task in CRM → Today (on the due date).
- If you have an automatic group with the Submitted a form condition, the client is in its detail on the Clients tab, under Current members.
