Forms
What forms are for
A form is where a visitor to your website or funnel hands you something: a contact, an order or a reservation. A form always belongs to one project. It is created and edited in that project's Studio and placed on website pages and funnel steps of the same project.
What happens after submitting is decided by the Form type: lead collection creates a contact and a deal in the CRM, a sales form creates an order, and a reservation creates a deal with the reserved items.
There is no longer a separate Forms item in the left menu — forms live inside projects.
Where to find forms
- In the left menu, click Content → Projects.
- Click the project card. The Studio opens.
- In the narrow icon strip on the left, the folder icon (Content) must be selected.
- The panel next to it has a third section, Forms. Click its heading to collapse or expand it.
- Click the form name (the row with the clipboard icon). The form editor opens in the middle of the screen.
If the project has no form yet, the section shows No forms yet.
Which form type to choose
The type is chosen in the form editor, in the General card, with the Form type switch.
| Type | When to use it | What happens after submitting |
|---|---|---|
| Lead collection | sign-up, lead magnet (an e-book in exchange for an e-mail), application, enquiry | a client is created or updated in the CRM by e-mail and a deal is created; the Lead created event fires and a reward is sent if set |
| Sales form | selling a product, course or service | an order is created and the customer goes on to pay |
| Reservation | reserving a date or goods without paying | the CRM gets a contact and a deal with the reserved items; nothing is paid and stock is not touched |
For Lead collection you also choose How it asks:
- All at once — every field on one screen (as long as the form has no steps).
- In steps — a survey: the visitor answers one screen at a time (buttons Next and Back, text Step 1 of 3); at the end the answers are stored together with the contact in the CRM.
Inside a funnel, forms share a deal: when the same person (by e-mail) fills in several forms in the same funnel on the same day, the CRM gets one deal. If they come back on another day, they get a new deal.
How to create a form
Before you start
- A project the form belongs to must exist.
- You need the permission Projects → Edit (without it you do not see the + icon) and also Forms → Create (without it the app refuses to create the form). Permissions are in the permission matrix, module Content.
- For a Sales form or a Reservation, at least one product must exist.
- For Consents, fill in the addresses of your terms and conditions and privacy policy in the organization settings (branding) — otherwise the consent does not appear on the form.
Steps
- In the left menu, click Content → Projects and open the project.
- In the content panel, find the Forms section.
- To the right of the Forms heading, click the + icon (tooltip New form).
- No dialog opens: the form is created at once with the name Untitled form and its editor opens straight away.
- In the General card, overwrite the Form name.
- In the Form type switch, click the type you want (Sales form, Lead collection or Reservation) and set it up following the sections below.
- Click Save in the bar at the bottom of the editor.
A new form:
- is published at once (the Publish switch in the General card is on),
- has no type yet: the Form type switch shows Sales form selected by default, with a blue notice above it, This is an older type of form that the editor no longer offers…. The notice goes away only after you click Save, having chosen Lead collection or Reservation, or picked a product for a sales form,
- until it has a type and is saved, it shows up empty on the page (a sales form also when it has no product),
- gets three built-in fields — Email, First & Last Name and Phone — once you click Lead collection.
Nothing is stored until you click Save
Every change in the form editor — adding, editing and deleting fields, steps and automation rules — is stored only after you click Save. The preview on the right shows it at once (The preview follows your changes — no save needed), but visitors do not see it until you save. After saving you see Form updated successfully!
A form can also be created right while placing it on a page — see How to place a form on a page.
How to check that it works
- In the form editor, look at the preview on the right (heading Preview). It cannot be submitted there (Submission is not available in preview mode).
- Place the form on a page, publish the page and fill in the form at the public address.
- For lead collection and reservations, check the new client and deal in the CRM; for a sales form, the new order.
What I see in the form editor
The form editor in the Studio has a Settings tab above the column of cards and a live Preview on the right. The cards run from top to bottom in this order:
| Part | What it contains |
|---|---|
| banner Form is not published. | shown when the form is switched off; its Publish button switches the form on and saves at once |
| General card | the Publish switch in its header; below it Form name, Description, Form type, How it asks for lead collection, then the Consents block, the Custom fields block for lead collection, Purchase mode for a sales form, Select products... and Message after submitting for sales and reservations, and the Submission reward row at the end for lead collection |
| Invoicing card | the FAPI form for documents (sales form and reservation) |
| Instalment sales card | instalments (sales form and reservation) |
| Automations card | rules when an event happens, do an action |
| bottom bar | Delete (left, red), Save (right); if you opened the editor through Fields over a page, the left button is Cancel instead of Delete |
How to add and edit form fields
The Custom fields block in the General card of the form editor is shown only for Lead collection (including the In steps survey).
How to add a field
- Open the form (Content → Projects → project → Forms section → form name).
- In the Custom fields block, click Add field. In a survey, Add field is in each step.
- The card is replaced by a panel headed Add.
- Fill in the fields as in the table.
- Click Add.
- Click Save at the bottom of the editor.
| Field | Required | What it means | Limits |
|---|---|---|---|
| Field name (technical key) | yes | internal key under which the answer is stored | no spaces, e.g. age; must be unique in the form |
| Field label | yes | the text the visitor sees next to the field | — |
| Type | yes | kind of field (see the table below) | — |
| Options | yes for choices | the options for Radio button, Checkboxes, Dropdown; add more with Add option | each must be filled in and unique; at least one |
| Minimum, Maximum | no | the allowed range; shown only for Number and Scale (slider) | for a scale, maximum must be greater than minimum and the scale can have at most 11 points (e.g. 1–10); an empty scale is 1–5 |
| Left-end label, Right-end label | no | texts at the ends of a scale, e.g. Not at all / Completely; scale only | — |
| Required | — | the visitor cannot submit without filling it in | — |
| Field type | What the visitor fills in |
|---|---|
| Short text | one line of text |
| Long text | several lines of text |
| Toggle (yes/no) | yes or no |
| Radio button (single choice) | one of the offered options |
| Checkboxes (choose several) | any number of options |
| Dropdown | one option from a list |
| Scale (slider) | a value on a slider |
| Number | a number |
| Date | a date |
If you close a new field with the back arrow without a name or label, it is discarded.
How to edit, move or remove a field
- Edit: in the field's row, click the pencil icon, change the values, click Edit and then Save.
- Move: grab the row by the handle on the left (tooltip Drag to reorder) and drag it.
- Remove: in the row, click X. The field disappears without confirmation; permanently after Save.
Built-in fields (chip Built-in) — Email, First & Last Name, Phone — have a locked technical key (Built-in field — the technical key can't be changed); you can change the Field label and Required. If you remove a built-in field, bring it back with + Email, + First & Last Name or + Phone below the list.
Keep the e-mail in the form
The e-mail is what pairs the submission with a client in the CRM, and both the reward and the automation e-mails are sent to it. A form without an Email field has no way to recognise the contact.
The editor does not offer a placeholder, help text, field width or custom HTML for the form.
How to split a survey into steps
Survey steps are set up in the Custom fields block of the General card. For Lead collection, choose How it asks → In steps. If the form has no fields yet, it gets two steps, Questions and Contact details; a form that already has fields (for example the three built-in ones) keeps them and you add the steps yourself.
The Add step button is on every Lead collection form, also with All at once. The visitor sees the form screen by screen whenever it has at least two steps — whatever is chosen in How it asks.
- Add a step: click Add step below the list of fields; it is added at the end.
- Edit a step: in the step header (Step 1, Step 2…), click the pencil (tooltip Edit step), fill in Step title and Step description (both optional) and click Save.
- Reorder steps: drag a step by its handle (Drag to reorder the steps).
- Remove a step: click the icon with the tooltip Remove step (its questions join the previous one).
Keep the contact details in the last step. Finally, click Save at the bottom of the editor.
How to set up consents (GDPR)
The Consents block is in the General card of the form editor for every form type.
- In the form editor, find the Consents block in the General card.
- Tick Terms and conditions (branding), Privacy policy (branding) or both.
- Click Save.
- The links come from the organization settings (branding). Under each consent you see the address that will be used.
- If the address is missing in the settings, you see an orange text No address is set in the organisation settings yet — this consent will not be shown on the form.
- A consent is always mandatory. A visitor who does not tick it sees The form cannot be submitted without this consent.
- On the form, the consent reads I agree to the terms and conditions or I agree to the processing of personal data.
Until you tick anything in the Consents block (which is the case for every new form), a Lead collection form shows a built-in mandatory consent, I agree to the processing of personal data. A visitor who does not tick it sees GDPR consent is required. Once you tick a consent, then untick both and save, the form has no consent at all.
An older form with an uploaded PDF document also has a GDPR document block (a link to the PDF and a cross to delete it). A new PDF document cannot be uploaded.
How to set up a sales form
Before you start
- Create a product with a price. A sale (crossed-out) price comes from the product.
- Set up a payment gateway in Organization → Integrations → Payment Gateway — payment methods are not chosen in the form.
Steps
- Open the form and in the General card choose Form type → Sales form (a new form already has it selected; the type is saved once you pick a product in step 3).
- In Purchase mode choose:
- Direct purchase — the customer sees the order straight away,
- Two-step form — first they fill in a contact (Enter your details, button Continue), only then the order. You keep the contact even if they do not finish the purchase.
- In the Select products... field, start typing a product name and pick it. You can pick several products. A product chip is a link — it opens the product in a new tab.
- With several products, adjust the Product order by dragging. The first one has the chip Main product.
- For a product with several variants, choose how they are shown: Automatic, Single variant or Multiple quantities.
- Optionally fill in Message after submitting (empty = built-in text).
- Optionally, in the Invoicing card, choose the FAPI form — it overrides both the project and the organization setting.
- Click Save.
What the customer sees
- Payment method: a single method is shown as a box; with several there is a Payment method dropdown. If there is nothing to offer, Card payment — You will be redirected to the payment gateway is shown.
- Discount code: the Discount code field with an Apply button is in the order of a sales form (with a Two-step form, only in the second step with the order); a reservation has none. Codes are created in Discount codes.
- Sale price: the original price crossed out and You save.
- Newsletter consent (I agree to receive news and offers by email) appears by itself when the form has an Email marketing — add contact rule with a purpose whose lawful basis is Consent.
- The Place order button creates the order.
How to turn on instalment sales
- In the Instalment sales card, switch on Allow payment in instalments.
- In Offered instalment counts, choose the counts (2 to 24; by default 3, 6 and 12).
- Set the Instalment interval (1 to 31) and the unit (days, weeks, months).
- In How to sell, choose Instalments and one-off payment or Instalments only.
- Click Save.
- Instalments are paid by card only; they are not offered for bank transfer or cash.
- With Instalments only, the customer is offered card payments only.
- If the switch is disabled and you see Get your payment gateway's approval first, your gateway (GoPay or Comgate) does not have recurring payments confirmed in the organization settings. Arrange them with the gateway and confirm with the switch in Organization → Integrations → Payment Gateway (the Open Settings → Integrations link in the notice opens that page in a new tab; see Payment Gateway).
- Without a chosen instalment count, instalments are not saved.
How to set up a reservation
- Open the form and in Form type choose Reservation.
- In Select products..., pick the products that can be reserved.
- Optionally fill in Message after submitting.
- Click Save.
The visitor picks the products and sends the reservation with the Reserve button.
A reservation needs an e-mail, a first and last name and at least one product. Otherwise the visitor sees An email address is required for the reservation, First and last name are required for the reservation or The reservation contains no products.
What the visitor sees after submitting
When the form does not redirect, the visitor stays on the page and sees, in place of the form:
| Form type | What is shown |
|---|---|
| Lead collection | the text Thank you!; Message after submitting is not offered for this type |
| Reservation | the heading Thank you for your reservation! and below it the text from Message after submitting; empty = We have received your reservation and will get back to you shortly with the next steps. |
| Sales form | the customer goes to the payment gateway; after paying they return to the same page and, instead of the form, see the heading Thank you for your order and below it the text from Message after submitting; empty = We have sent the confirmation to your e-mail. |
Message after submitting replaces only the text below the heading; the heading stays.
In a funnel, the visitor continues to the next funnel step after submitting. How to send the visitor to a thank-you page is in the next section.
How to send the visitor to a thank-you page after submitting
The redirect is not set in the form editor. Where the visitor goes after submitting depends on where the form is placed.
A form on a website page
The AI in the Studio sets the redirect when you ask for it.
- In the Studio, open the page the form is placed on.
- In the chat, write where the form should lead, for example after the form is submitted, redirect to the Thank you page.
- Send the message and wait until the AI processes the change.
- Publish the page (Publishing).
The AI redirects to a page of the same website. If the thank-you page does not exist yet, ask the AI to create it and keep it out of the menu — then only people who fill in the form reach it. This works for every form type; with a sales form, the customer reaches the thank-you page after paying.
A form on a funnel step
- In the Studio, open the funnel step with the form.
- In the preview, hover over the form and click Action.
- In After submitting, continue to, choose where the visitor continues.
- Click Save.
With The funnel's own path, the visitor continues to the next funnel step. Details are in Funnels.
How to prefill data in a form
Automatically: the name, e-mail and phone a visitor fills in once are remembered by their browser. They are prefilled in the next forms on the same domain — on the website and in the funnel. Nothing needs to be set up for this.
From a link: a Lead collection form can read the data from the page address.
- Take the address of the page with the form.
- Add parameters to it, for example
?email=jane@example.com&firstName=Jane&lastName=Doe. - Add the phone as
&phone=…and a custom field by its Field name (technical key), for example&age=30. - Send the link, for example in an e-mail campaign.
Data from the link takes precedence over what the browser remembered.
How to set up form automations
An automation is a rule when an event happens, do an action, for example when the order is paid, enrol the customer in a course.
Steps
- Open the form and find the Automations card.
- Click Add rule. The New rule panel opens.
- Choose the Event.
- Choose the Action and fill in its fields.
- Optionally narrow the rule (Product variant ID (optional), Payment type).
- Click Add.
- Click Save at the bottom of the editor.
Edit a rule with the pencil in its row (panel Edit rule, button Edit); remove it with the X icon (no confirmation, permanent after Save).
Events
Only the events the given form type fires are offered: for Lead collection and Reservation only Lead created, for a Sales form all the others.
| Event | When it happens |
|---|---|
| Lead created | after a contact form or reservation is submitted |
| Order created | after an order is submitted |
| Order paid | after payment |
| Order cancelled | after the order is cancelled |
| Course access created | after a course from a purchase is granted |
| Invoice created | after an invoice is issued |
| Advance invoice issued | after an advance invoice is issued |
| Reminder — day before due and the other reminders (on the due date, 1, 3 and 7 days overdue) | for an unpaid advance invoice |
Advance invoice issued and the reminders can be chosen only when the organization has the matching transactional e-mail switched on. Otherwise they are greyed out in the event list with the text switched off for the organization and a Settings link (it opens the transactional e-mails in the organization settings in a new tab).
The event list also narrows by the chosen action (e.g. Enroll in course offers only Lead created and Order paid).
Actions
| Action | What it does | What you fill in |
|---|---|---|
| Email marketing — add contact | adds the contact to a list in the connected e-mail marketing tool | Contact audience; for SmartEmailing also Processing purpose (GDPR) |
| Email marketing — remove contact | removes the contact from a list | Contact audience |
| Connected system | e.g. creates access to a membership section in Mioweb | System, What should happen; with no system connected you see No system is connected yet. and a Connect one in settings link |
| Webhook | sends the data to an address — a connection to another system | Webhook URL, How to call it (POST with JSON data, recommended, or GET that only opens the address), Parameters in the address (Add parameter; variables {email}, {firstName}, {lastName}, {name}, {phone}, {orderId}) |
| System email to client | a system e-mail (e.g. order confirmation); not for Lead created | Email setting: Use organization settings, Custom email for this form or Do not send for this form |
| Email to client | an e-mail to the person who filled in the form | Email subject, Email body, Attach form data |
| Email to address | an e-mail to the address you enter (typically yours) | Email address, Email subject, Email body, Attach form data |
| Enroll in course | gives the person an account, course access and an e-mail with the access; only for Lead created and Order paid | Course or bundle, Access length (Lifetime or Limited + number of days/months/years) |
- Attach form data adds a table with the filled-in fields to the e-mail. If you type
{formData}in the text, the table goes exactly there; otherwise at the end. - For Email marketing — add contact into SmartEmailing, always choose a purpose. Without it the contact is stored but cannot be sent an e-mail.
- Enroll in course does not change access for someone who already has the course (even expired or revoked).
- MailerLite rules are shown only on older forms; new ones cannot be added.
Narrowing a rule
In the automation rule panel, order, invoice, course and reminder events show extra fields:
- Product variant ID (optional) — the rule runs only for this variant (a number, e.g. 45).
- Payment type — All payments, One-off payment or Payment in instalments (not shown for the Course access created event).
How to set up a submission reward
A reward is a digital file (e-book, PDF, template) sent by e-mail to whoever fills in a Lead collection form.
Before you start
Upload a digital file (PDF) to a product variant. Otherwise you see No products with digital files. Upload a PDF to a product variant first.
Steps
- Open the form and, at the end of the General card, click the Submission reward row (status Inactive).
- In the Submission reward panel, switch on Enable reward.
- In Digital file (reward), choose the product.
- Fill in Email subject and Email body.
- Click Close and then Save at the bottom of the editor.
The row then shows the status Active. The reward is sent to the value of the Email field.
How to check that it works
Publish the page with the form, fill it in with your own e-mail and check that the reward e-mail arrived.
How to place a form on a page
Visitors see a form only once you place it on a website page or a funnel step.
Before you start
- Open the page or funnel step in the Studio (Content → Projects → project → Pages or Funnels section → item).
- No AI change is running and neither text editing nor Select element is on — otherwise the Insert element button is disabled.
Steps
- In the floating icon bar at the bottom centre of the page preview, click the square-with-plus icon (tooltip Insert element).
- If a menu opens, click Form (Embeds an existing form straight into the page.). When a form is the only element that can be placed on the page, the menu is skipped.
- Above the preview you see Pick the spot — Form. Click the element in the preview the form should go next to. (Esc cancels the selection.)
- The Insert form into page panel opens.
- In Form, choose the form (if the project has just one, it is already selected).
- In Placement, choose Before the selected element, After the selected element (default) or Inside the selected element.
- Optionally fill in Styling note (optional).
- Click Insert.
If the project has no form, the panel shows This project has no form yet and a Create a form button. Clicking it creates a form named Untitled form (Form created — it is selected below); you set its type and fields later in the form editor (see How to create a form). Until you set its type and save it, it shows up empty on the page.
The insertion goes into Prepared changes and the AI carries it out when you run the changes — see Studio editor. Up to 8 changes can be prepared at once. Until you publish the page, visitors do not see the form (Publishing).
The AI can also create a new form in the chat and place it on the page straight away — write, for example, add a sign-up form with e-mail and name below the intro section. You then find the new form in the Forms section and keep editing it in the form editor.
How to check that it works
Once the change is processed, you see the form in the page preview. After publishing, open it at the public address and send a test submission.
How to change the colours, fields and action of a placed form
In the page preview in the Studio, hover over the placed form. A bar with options appears:
| Option | What it does |
|---|---|
| Colours | opens the Form colours panel: Text and label colour, Field background, Field text colour, Field border, Button background, Button text colour and, below a divider, Field corner radius and Button corner radius (in px); changes show in the preview at once, confirm with Save, Cancel reverts them |
| Fields | opens the form editor next to the page (the page stays on the canvas); there is also a Cancel button here |
| Action | only on a funnel step — where the visitor continues after submitting |
Colours belong to the placement, not to the form: the same form can have different colours on another page. With low contrast you see a warning … is low contrast … — the text will be hard to read.
The AI cannot change the content and fields of an existing form in the chat (This form's content and fields are managed in its settings. AI Studio can only adjust its colors.); it can create a new form. While element selection or text editing is on, the form is dimmed with a Form editing card and the buttons Edit form and Edit colours.
How to switch a form off
- Open the form.
- In the General card, switch off Publish.
- Click Save.
An unpublished form has the banner Form is not published. in the editor. Switch it on again with the button in the banner.
How to delete a form
Before you start
- You need the permissions Projects → Edit and Forms → Delete.
- Deleting cannot be undone: all submissions are deleted too. Pages that embed the form stop showing it — the app does not warn you about this. Remove or replace the form on those pages first.
Steps
- Open the form from the Forms section of the content panel.
- In the bar at the bottom of the editor, click the red Delete on the left.
- In the Delete form dialog (Are you sure you want to delete this form?), confirm Delete.
You see Form deleted successfully! The Delete button is missing when you opened the editor via Fields above a page — open the form from the Forms section.
Can a form be duplicated?
The Studio has no button to duplicate a form. Create a new form with + in the Forms section and set it up.
Where to find form submissions
Submitted data is stored with the client in the CRM:
- Open the client detail.
- In the Contact information card, click Show more.
- The Filled form data section lists the forms the client filled in, with their answers.
The deal timeline has a link to the form.
A separate Submissions screen (address /dashboard/content/forms/<form ID>/submissions) shows all submissions of one form:
| Element | What it does |
|---|---|
| Export CSV | top right; downloads the file form-<ID>-submissions.csv |
| From, To | filter by submission date |
| columns | one column per value that arrived in the submissions on the current page (heading = the custom field's Field label; built-in and deleted fields show their technical key, e.g. email) and a last one, Submitted at |
| pagination | 20 rows per page by default |
Today no button in the app leads to the Submissions screen; you open it only by typing the address. A submission cannot be deleted there.
How to send a sales form to a client from the CRM
You can send a client in a deal a link to a sales form they buy through.
- In the CRM, open the deal.
- In the activity bar, click Sale.
- In the Add sale window, pick a published sales form in the Form field.
- Click Save.
- In the deal timeline, at the new entry, click Copy link.
- Send the link to the client.
The link prefills the client's e-mail and name. It is good for one purchase — after the purchase it shows This purchase link has already been redeemed.
Who can work with forms
Permissions are set in the permission matrix, module Content.
| What you want to do | Permission needed |
|---|---|
| see forms in a project | Projects → View and Forms → View |
| open the Submissions screen and export CSV | Forms → View |
| create a form | Projects → Edit and Forms → Create |
| edit and save a form | Forms → Edit |
| delete a form | Projects → Edit and Forms → Delete |
Common questions and problems with forms
I do not see the + icon at Forms or the Delete button. You lack the permission Projects → Edit.
I changed the fields but nothing changed on the website. You did not click Save at the bottom of the editor. The editor preview also shows unsaved changes.
"A form must contain at least one field". Add at least one field and save again.
"An order form must have at least one product". For a Sales form, pick at least one product in Select products....
"Field … appears more than once in the form". Two fields have the same Field name (technical key). Rename one of them.
"The rule cannot be saved — check these fields: …". A required value is missing in the automation rule (e.g. address, subject, list). Fill in the listed fields.
"This is an older type of form that the editor no longer offers." Every new form shows this notice too, until you choose its type and save it. An older form keeps working. If you choose a Form type or add a product, it is converted to the new type and its current content is replaced.
A new form has no fields. A new form has Sales form selected by default, which has no fields. Click Lead collection — the built-in fields Email, First & Last Name and Phone are added.
The placed form is empty on the page. The form does not have a saved type yet, or a sales form has no product. Set it up in the form editor and click Save.
The form does not redirect to a thank-you page after submitting. See How to send the visitor to a thank-you page after submitting.
The consent is not shown on the form. The address of the terms and conditions or the privacy policy is missing in the organization settings.
I cannot turn on instalments. See How to turn on instalment sales.
The reward's list of digital files is empty. No file is uploaded to a product variant.
The Enroll in course action cannot be chosen. It is available only for the Lead created or Order paid event.
The customer did not get an e-mail from SmartEmailing. The rule has no Processing purpose (GDPR).
