Selling to a client through the CRM

What it is for

This procedure takes a whole deal in the CRM from start to finish: you create the client, open a deal, plan the next step, send the client a personal sales link, and after payment the deal closes as won by itself and counts towards your target.

Before you start

What must existWhere to prepare it
the organization's Supported currenciesOrganization → Settings – Organization settings
the product you sellEshop → Products – Products
a published sales form with this product and paymentForms
rights in the CRM module: Clients – Create; Deals – Create and Edit; Tasks – CreateOrganization → Permissions – Permission matrix
(optional) your monthly target with the Paid metricCRM → Results → Targets – Targets

Step 1: How to create the client

  1. In the left menu click CRM → Clients.
  2. Use Search to check that the client does not exist yet (search for the email).
  3. At the top right click New Client.
  4. Fill in Email, First Name, Last Name, and optionally Phone.
  5. Click Create. The client detail opens and you are the sales rep.

Details: Clients.

Step 2: How to open a deal

  1. In the client detail click the Deals tab.
  2. Click Create deal.
  3. Fill in the Name, leave Status on New, enter the Value in the deal's currency, check the Owner (you by default) and the Expected close date.
  4. Click Create.

Details: Deals.

Step 3: How to plan the next step

  1. On the Deals tab click the row of the new deal – its detail opens.
  2. Click Task.
  3. Fill in the Title (e.g. “Call and arrange a meeting”) and the Due Date.
  4. Click Create.

The task shows on your CRM → Today screen when it is due. After the meeting change the deal's status with the label in the detail header (e.g. Meeting, Negotiation).

  1. In the deal detail click Sale.
  2. In the Add sale window select your sales form in the Form field.
  3. Click Save.
  4. In the timeline, at the new entry, click Copy link.
  5. Send the link to the client by email or message. The form opens prefilled for them.

Details: Deals.

Step 5: What happens when the client pays

You do not have to do anything:

  • the order is assigned to the deal and its salesperson is the deal owner,
  • the deal timeline shows the form submission, the order and the payment; the link shows Purchased,
  • after payment the deal switches to Won,
  • the client gets the Converted contact status.

If the deal does not work out, mark it as Lost and choose a reason – see Deals.

How to check that it works

  1. CRM → Deals – the deal has the Won status and the actual close date in the Deadlines column.
  2. Client detail → Orders tab – the order is there with the Paid status.
  3. CRM → Today – Closed this month has gone up and the My target fulfilment card shows a higher percentage (if you have a Paid target in the same currency).

Common questions and problems

The Sale button is missing. The deal is already Won or Lost.

The Add sale window cannot be saved. You have neither the Edit nor the Own right on the Deals row.

The form is not offered in the Add sale window. The form is not published.

The client paid but the deal is not Won. Check in the timeline whether the client bought through the shared link – a purchase through another link (e.g. a public page) is not assigned to this deal.
