Finance

What it is for

The Finance report in Statistics shows the money from orders: how much was paid over time, how the company target is being met, the difference between closed deals, invoiced and paid orders, what was cancelled, and which countries, products and clients the revenue came from. All amounts are excluding VAT and each currency is counted separately.

Where to find it

In the left menu click Statistics, then Finance in the expanded list (address /dashboard/reports/finance). The page header reads Statistics / Finance.

Other reports in the same list: Sales (Sales), Salespeople (Salespeople) and Membership (Membership).

Finance

Before you start: where the numbers come from

You enter nothing into the Finance report — it only reads data from other parts of the app. To show anything meaningful you need:

  1. paid orders in Sales → Orders (see Orders) — revenue, countries, products and clients come from them,
  2. won deals in the CRM with a value filled in (see Deals) — "Closed" and target fulfilment come from them,
  3. a company target set in the CRM (see Targets) — without it the target is zero.

To view the report you need the permission Statistics → View (see Who can do this).

How to set the report period

Above the cards of the Finance report there is a row of filters:

FieldWhat it doesDefault
Periodhow charts over time are grouped: Week, Month, YearMonth
Fromfirst day of the periodfirst day of the month a year ago
Tolast day of the period (inclusive)today

Steps:

  1. In the left menu click Statistics → Finance.
  2. In the Period field choose Week, Month or Year.
  3. Click the From field and pick the start in the calendar.
  4. Click the To field and pick the end.

The cards recalculate immediately. If you clear From, the report takes data from the very beginning. The period is not remembered — after you leave the page it goes back to the last year. Months and weeks are counted in UTC.

The Period field affects only the Paid over time (excl. VAT) chart. Target fulfilment is always by month and the other cards show totals for the whole From – To window.

What I see on the Finance screen

The Finance report has these cards from top to bottom:

CardWhat it shows
notice Note: orders without items are not in net revenueshown only when the period contains paid orders without items
Paid over time (excl. VAT)bar chart of net revenue from paid orders by week / month / year, per currency
Company target fulfilmentvalue of won deals against the company target by month
Closed / Invoiced / Paid (excl. VAT)comparison of three amounts per currency
Cancelled orders + reasonscount and net value of cancelled orders by reason
Revenue by country (excl. VAT)each country's share of net revenue
Products by revenue (excl. VAT)top 20 products by net revenue
Clients by revenue (excl. VAT)top 20 clients by net revenue, optionally year over year

On the right of the filter row is the Export whole tab (CSV) icon, and each card has an Export CSV icon (see How to export the Finance report to CSV).

When a card has no data in the period it shows No data for the selected period.

How to read the Paid over time card

The Paid over time (excl. VAT) card in the Finance report (subtitle Net revenue by currency) adds up orders in the Paid status:

  • the amount is excluding VAT — from the price of each line after the discount-code share and the line's VAT rate,
  • an order counts in the week / month when it was created, not when it was paid,
  • orders imported from FAPI are included,
  • cancelled and refunded orders are not counted — if a paid order is later cancelled or refunded, it disappears from the past period too,
  • each currency shows its own total; currencies are never added together.

That is why the figure can differ from Total Paid in Sales → Orders, which includes VAT and leaves out FAPI orders.

How to read the Company target fulfilment card

The Company target fulfilment card in the Finance report compares by month:

  • Paid — the value of CRM deals won in that month (by won date), from their prices in that currency,
  • Target — the company monthly target (the target with no salesperson in Targets),
  • Cumul. paid and Cumul. target — running totals from the start of the period.

Above the chart each currency shows Σ Paid and Σ Target.

The target is measured against won deals, not orders

Despite the label "Paid", this card does not count e-shop orders. A sale without a won deal in the CRM does not count towards the target.

A target month counts in full even when the period starts in the middle of it; won deals are only counted from the From date.

How to read the Closed / Invoiced / Paid card

The Closed / Invoiced / Paid (excl. VAT) card in the Finance report has three columns per currency:

ColumnWhat is countedDate
Closedvalue of won CRM dealswon date
Invoicednet amount of paid orders that have a non-cancelled invoiceorder creation date
Paidnet amount of all paid ordersorder creation date

Closed is deals in the CRM; Invoiced and Paid are orders — they are different things and need not match. Invoiced is never more than Paid; the difference is paid orders without an invoice.

How to read the Cancelled orders + reasons card

The Cancelled orders + reasons card in the Finance report shows a donut chart per currency of cancelled and refunded orders by cancellation reason, the count and the net value (net). An order counts on its cancellation date, a refunded one on its refund date.

Reasons are shown as system codes (e.g. PRICE, TIMING). Orders cancelled in Sales → Orders via Change status have no reason and appear under UNKNOWN. With no cancelled orders the card shows No cancelled orders in period.

How to read the Revenue by country card

The Revenue by country (excl. VAT) card in the Finance report shows a donut chart per currency: how much net revenue from paid orders falls to each country. The country is the one in the order's billing address. The middle of the chart shows the currency total.

How to read the Products and Clients by revenue cards

The Products by revenue (excl. VAT) card in the Finance report has a table per currency Product | Net | Share with the 20 products with the highest net revenue. The currency total and the share are computed over all products, not just the top 20.

The Clients by revenue (excl. VAT) card has a table Client | Net | Orders | Share with the top 20 clients. A client is an e-mail address — the same person with two e-mails counts as two clients.

How to compare clients year over year

  1. In the Clients by revenue (excl. VAT) card switch on YoY in the top right.
  2. The table gains the columns Prev. year (the client's net revenue in the same period a year earlier) and Δ % (change in percent; — if they bought nothing last year).

With YoY on, clients who bought nothing this year stay in the table (with net 0).

Why the notice "orders without items are not in net revenue" appears

The Note: orders without items are not in net revenue notice in the Finance report appears when the period contains paid orders without line items (typically migrated or manually entered sales). Without items the VAT rate is unknown, so the amount excluding VAT cannot be computed — such orders are left out of every card. For each currency the notice states how many there are, their value including VAT (gross) and how many orders with items the report covers.

How to export the Finance report to CSV

One card:

  1. In the Finance report set the period.
  2. Click the Export CSV icon at the top right of the card.

All cards at once:

  1. On the right of the filter row click the Export whole tab (CSV) icon.
  2. One file downloads with all the cards of the report one after another, each under its title.

The file uses a semicolon separator and opens correctly in Excel with Czech or Slovak settings. The export contains exactly what the cards are showing (period and the YoY switch). The icon is disabled while the card has no data.

How to check that the Finance report works

  1. In Sales → Orders find a paid order with items and note its creation date and amount excluding VAT (the Incl. VAT … (net …) lines in the detail).
  2. In Statistics → Finance set From and To to its creation day.
  3. Paid over time should show the sum of the net amounts of all paid orders of that day in that currency.

Who can do this

What you want to doPermission needed
see Statistics and all its reports, including CSV export of the cardsStatistics → View

The Statistics item appears in the left menu only when the organisation's plan includes the CRM module — without CRM it is hidden even with the Statistics → View permission.

The permission is set in the permission matrix in the Statistics row. Whoever has it sees all four reports — there is no finer split. The Export orders (CSV) and Export deals (CSV) rows in the same group of the matrix concern the exports in Orders and in the CRM, not this report.

Frequently asked questions and problems

Why does revenue not match Total Paid in Orders? The report excludes VAT, includes FAPI orders and leaves out orders without items. The strip in Orders includes VAT and excludes FAPI.

Why did last month's figure change? An order counts by its current status. If a paid order was later cancelled or refunded, it disappears from the report retroactively. And an order belongs to the month it was created in — when someone pays it later, it is added to the month of creation.

Why can't I see one total across all currencies? The app does not convert currencies. Each currency has its own chart or row.

Target fulfilment is zero although we are selling. The target is measured against won deals in the CRM, not orders. Check that a company target is set in Targets and that the deals are marked as won and have a price.

"No data for the selected period". The period is too narrow, or it has no paid orders. Widen From – To.

A new order did not show up in the report. Data is loaded when the page opens. Change the period or reload the page.
