Members
What it is for
The Members screen is the list of people who have access to your organization in Doubleros — colleagues as well as outside people. On the Members screen you invite people, give them a role (the role decides what they may do in the app), change their member type, temporarily suspend their access and remove them.
What exactly a member may do is not set on the Members screen but by their role — you prepare roles in the Permissions chapter.
Where to find it
- In the left menu, click Organization (the building icon).
- In the expanded list, click Members.
The screen heading reads Organization · Members, with a summary underneath, for example "12 members · 2 invitations pending".
Only people whose role gives them the Members screen (at least View only) see the Members item in the menu.

Before you start
The Members screen works with roles, so prepare the roles before inviting people:
- Check in Permissions that a role with the right permissions exists (for example "Sales" with CRM only). A new organization has three roles: Owner, Admin and Member.
- If no suitable role exists, create one and set its permissions in the Permission matrix.
- Make sure you have Members → Create — without it you will not see the Create member button.
If you do not pick a role when inviting, the person gets the Member role, which in a new organization allows only Members → View.
What I see on the screen
If you may add members, the page has two tabs at the top: Members (the list of people, described below) and Invite codes (see How to invite people with an invite code). The Members tab has these parts (top to bottom):
- Top right: the Create member button.
- Tabs above the table, each with a count:
| Tab | What it shows |
|---|---|
| All | all members plus pending invitations |
| Invited | only invitations nobody has accepted yet |
| Internal | members of type Internal |
| External | members of type External |
- Search (the Search... field) — searches first name, last name and e-mail; accents and letter case do not matter. On the Invited tab it searches the invitation e-mail.
- The Filters button — opens the Filter data dialog with a single filter, Role. An active filter is shown as a chip above the table; Reset clears it.
- The members table with these columns:
| Column | What it means |
|---|---|
| First Name | avatar, first and last name with the e-mail below; if the person has no name, Not specified |
| Role | the member's role; if you may change it, it is a button with an arrow |
| Member type | Internal or External; if you may change it, it is a button with an arrow |
| Access | Active (green dot) or Suspended (red dot) |
| Created | when the person became a member of the organization |
| "…" | the row actions menu |
- On the Invited tab the columns are First Name (the invitee's e-mail), Role, Member type (always the Awaiting acceptance label with the date Valid until …; once the invitation runs out, the Expired label), Access (empty) and Invited on (the date of the last send; the "i" icon next to it shows Sent history — every send date).
- Pagination below the table — 10 rows per page by default.
Clicking a member's row (not an invitation) opens the member's detail page.
Actions in the "…" menu of a member
| Action | What it does | When you see it |
|---|---|---|
| Detail | opens the member's page | you have Members → View |
| Settings | opens the Member settings — name dialog (access, Telegram) | you have Members → Suspend or Channel settings → Connected accounts → View |
| More info | shows columns that did not fit on a narrow screen | narrow screens only |
| Delete | removes the member from the organization | you have Members → Delete and it is neither you nor the owner |
Actions in the "…" menu of an invitation
| Action | What it does |
|---|---|
| Resend invitation | sends the invitation e-mail again |
| More info | shows hidden columns (narrow screen) |
| Cancel invitation | deletes the invitation after confirmation |
Member types: Internal and External
On the Members screen every member has a Member type:
| Type | Who it is |
|---|---|
| Internal | your own people who work in the app (the default) |
| External | an outside person, for example a customer with access to the membership area |
WARNING
Member type is only a label for sorting the list (the Internal and External tabs). It neither grants nor removes any permission. What a person may do is decided solely by their Role. An external member whose role has CRM permissions will see the CRM.
How to invite a new member
On the Members screen you invite a person by e-mail.
Before you start: you need Members → Create and a prepared role (see Permissions).
- In the left menu, click Organization → Members.
- Top right, click Create member.
- The Invite member dialog opens. Fill in the fields:
| Field | Required | What it means | Limits / default |
|---|---|---|---|
| yes | the e-mail of the person you invite | must be a valid e-mail address | |
| Role | no | the role the person gets | lists every role of the organization; — means the Member role |
- Click the Invite member button at the bottom of the dialog.
The message Member invited successfully appears and the screen switches to the Invited tab. What happens next depends on whether the person already has a Doubleros account:
| Situation | What happens |
|---|---|
| the person has no account yet | they get an invitation e-mail; a row labelled Awaiting acceptance appears on the Invited tab; the link in the e-mail opens the invitation page, where they create an account with the same e-mail the invitation was sent to and become a member with the invited role (no role = Member) |
| the person already has a Doubleros account | they get the same invitation e-mail and do not become a member automatically — they have to accept the invitation (the Accept invitation button). Until then they stay on the Invited tab; once accepted they are on All, and the organization's notification addresses get a new-member notice |
| the person is already a member | no invitation is sent and an error says the address is already a member of this organization |
| an invitation is already pending for the e-mail | the invitation is sent again with the role you chose now; the Invited tab keeps one row and Sent history gains a new date |
An invitation is valid for 7 days — the date is in the row as Valid until …. After that the row shows Expired and the link in the e-mail no longer works; use Resend invitation. A new member has Member type Internal and Access Active.
The invitee can see the invitation page without signing in: the organization, the role and the expiry date. Only the account with the e-mail the invitation was sent to can accept it. If the address has an account, the page offers only Sign in; if it has none, only Create account. A signed-in invitee sees the Accept invitation and Decline buttons; when they decline, the person who invited them gets a notification. A signed-in invitee also sees waiting invitations in the You have pending invitations block on the main overview and on the first-run setup screen.
How to check it worked
- On the Members screen, open the Invited tab. The person shows up on All only once they accept the invitation (or sign up through it).
- Find the row with their e-mail and check the Role column.
- Ask the person to sign in and pick your organization in the organization switcher. In the left menu they will see only the items their role allows.
How to invite people with an invite code
Besides inviting one by one, you can give people an invite code or the link built from it. Anyone who knows the code joins the organization on their own, with the role the code is bound to. An organization can have several codes, but each role at most one. A code can never grant the owner role (Owner).
Before you start: you need Members → Create and the organization's subscription must not be frozen — otherwise you do not see the Invite codes tab. Prepare the role the code should grant in Permissions.
- In the left menu, click Organization → Members.
- At the top, click the Invite codes tab.
- Click New code top right. While you have no code yet, the button is in the middle of the screen under No invite codes yet.
- The New code side panel opens. Fill in the fields:
| Field | Required | What it means | Limits / default |
|---|---|---|---|
| Role | yes | Everyone who joins with the code gets this role. A role can have one code; the owner role cannot be granted by a code. | the list leaves out the owner role and roles that already have a code |
| Courses on joining | no | courses and bundles that everyone who joins with the code receives; a chosen bundle opens all the courses in it | lifetime access; anyone who already has a course keeps it as it is; only published courses and bundles are offered, not supplementary content; you see the field only if the organization has the Academy switched on and you have Students → Create |
| Code | no | the text the person enters to join | empty = a code is generated (for example K7MQP-3XHTD); your own code has 6–40 characters, only letters without diacritics, digits, - and _, and must be unique across the whole platform (upper and lower case are treated the same); the Generate button inside the field fills in a random code |
| Join link | — | a read-only link of the form …/sign-up?code=CODE; copy it with the icon next to it | it is made from the code, so it changes with it; it works once saved |
| Note | no | for example who the code is for | seen only by admins |
- Click Create at the bottom of the panel.
The message Code created appears and the code is added to the table. Now send it (or the join link) to the people who should join. How they join is in First-run setup wizard.
The join link leads to the sign-up page. Whoever signs up or signs in is joined with the code from the link automatically, without typing the code. If the code has Courses on joining, the new member receives them with lifetime access right after joining.
WARNING
Anyone who knows the code joins with its role. For a short code or a plain word the panel warns that it is easy to guess — a longer code with digits is safer. Share it only with the people it is meant for.
If every role already has its code, the message Every role already has its code, and a role can only have one. Edit an existing code instead. appears above the table and New code is disabled. If the organization has no role a code could grant, the message asks you to create a role under Permissions first.
What I see in the codes table
| Column | What it means |
|---|---|
| Code | the code with a copy button |
| Role | the role the code grants |
| Courses | the number of courses the code grants on joining (hover for their titles), or "—"; everyone who sees the table sees it |
| Note | your note on the code |
| Uses | how many people joined with the code and below it Last used with a date, or Not used yet |
| Status | Active or Inactive |
| "…" | menu with Edit and Delete |
How to edit or switch off a code
- In the left menu, click Organization → Members and open the Invite codes tab.
- In the code's row, click "…" → Edit.
- In the Edit code panel change what you need — Role, Courses on joining, Code, Note or the Code is active switch. Nobody can join with a switched-off code until you switch it back on. A change to the courses applies only to people who join afterwards — nothing is added to or taken from people who already joined.
- Click Save.
The message Code saved appears. If you changed the code's text, the previous code (and the link built from it) stops working immediately — send people the new one.
How to delete a code
- In the code's row, click "…" → Delete.
- In Delete this code? (The code … will stop working and nobody will be able to join with it.) confirm with Delete.
The message Code deleted appears. People who already joined with the code stay members.
TIP
If you used the invite link from organization settings before, it keeps working — you find it on the Invite codes tab as a code.
How to resend an invitation
On the Members screen you send an invitation again when the e-mail did not arrive or got lost.
- In the left menu, click Organization → Members.
- Open the Invited tab.
- In the invitation's row, click "…" at the far right.
- Click Resend invitation.
The message Invitation resent successfully appears. The Invited on date changes to today a new entry is added to Sent history and the invitation is valid for another 7 days. The e-mail contains a new link — the one from the previous e-mail stops working. You need Members → Create.
How to cancel an invitation
On the Members screen you cancel an invitation the person has not accepted yet.
- In the left menu, click Organization → Members.
- Open the Invited tab.
- In the invitation's row, click "…".
- Click Cancel invitation.
- The Cancel invitation dialog opens with the text "Are you sure you want to cancel this invitation? This action cannot be undone." Click Delete (the Cancel button only closes the dialog).
The message Invitation cancelled successfully appears, the row disappears and the invitee gets an e-mail that the invitation was cancelled. You need Members → Delete.
How to change a member's role
On the Members screen you change the role right in the table.
Before you start: you need Members → Edit. The target role must exist in Permissions.
- In the left menu, click Organization → Members.
- In the member's row, click the button with the current role name in the Role column.
- The Change role dialog opens with the member's name and e-mail.
- In the Role field, choose the new role.
- Click Save.
The message Role changed successfully appears. The change applies at once: on their next action or page load the member sees only what the new role allows.
You cannot change your own role — in your own row the role is plain text. Only another member with a system role can change the role of a member holding the system role Owner.
How to check it worked
The Role column shows the new role. After refreshing the page the member sees different left-menu items according to the new role.
How to change the member type
On the Members screen you switch a member between Internal and External.
- In the left menu, click Organization → Members.
- In the member's row, click the button with the current type in the Member type column.
- In the small menu, click Internal or External.
The message Member type changed appears and the member moves to the matching tab. Permissions do not change. You need Members → Edit; you cannot change your own type.
How to suspend a member's access temporarily
On the Members screen you can take a member out for a while without removing them — for example over an unpaid fee.
Before you start: you need Members → Suspend.
- In the left menu, click Organization → Members.
- In the member's row, click "…".
- Click Settings.
- The Member settings — name dialog opens. The Access settings section shows the access Status.
- Click Suspend access.
- The Suspend member access dialog opens with a warning. Fill in the fields:
| Field | Required | What it means | Limits / default |
|---|---|---|---|
| Reason | yes | why you suspend access; you will see it later in the member settings | max. 500 characters |
| Restore automatically (optional) | no | date and time when access comes back on its own | must be in the future; empty = you restore access manually |
- Click Suspend access at the bottom of the dialog.
The message Member access has been suspended. appears. As the dialog warns: the member immediately loses access to this organization, including its Telegram agent and automations; other organizations and sign-in remain available. When they try to open the organization they see the screen Your organization access is suspended.
The Access column now reads Suspended. The Member settings dialog gains a box with Reason, Suspended at, Automatic restoration (a date, or Manual restoration) and Suspended by.
If you set an automatic restoration date, the member has access again once it passes, with no further action, and the table shows Active.
How to check it worked
In the Members table the member has a red Suspended label in the Access column.
How to restore suspended access
- In the left menu, click Organization → Members.
- In the row of the Suspended member, click "…" → Settings.
- In the Access settings section, click Restore access.
- In the Restore member access dialog ("The member will regain access to this organization immediately."), click Restore access.
The message Member access has been restored. appears and the Access column reads Active again.
How to remove a member from the organization
On the Members screen you take a person's access away permanently.
- In the left menu, click Organization → Members.
- In the member's row, click "…".
- Click Delete.
- The Remove member dialog opens with the text "Are you sure you want to delete?". Click Delete.
The message Member removed successfully appears and the row disappears. The person's Doubleros account stays — they only lose access to your organization. To bring them back, invite them again.
You need Members → Delete. You cannot remove yourself or the owner (role Owner) — their rows have no Delete action.
TIP
If you only want to take someone out for a while, use suspending access instead — it is undone with one click.
How to manage a member's Telegram account
In the Member settings dialog (Organization → Members → "…" → Settings), below the access settings, there is a section with the member's connected Telegram account and access mode. You see it if you have Channel settings → Connected accounts → View. Details are in the Communication channels chapter.
Who can do this
Access is set in the Permission matrix, screen Organization → Members (the other places in this chapter that name Members → View, Create, Edit, Suspend or Delete mean the levels below):
| What you want to do | Level needed on the Members screen |
|---|---|
| see the Members screen and a member's detail | View only |
| invite a member, resend an invitation | Can work |
| change a member's role or type | Can work |
| suspend and restore access | Can work |
| remove a member, cancel an invitation | Can work |
| manage Invite codes | Can work (and the subscription is not frozen) |
The Owner role always has every permission.
Common questions and problems
I do not see the Create member button. Your role lacks Members → Create. Ask the organization owner to adjust your role.
I do not see the Invite codes tab. You lack Members → Create, or the organization's subscription is frozen.
A newcomer gets "Invalid invite code". The code is mistyped, switched off (Inactive), deleted, or you changed its text. Check it on the Invite codes tab and send the current one.
The row shows the role as text, not a button. Either you lack Members → Edit, or it is your own row — you cannot change your own role or type.
The owner's row has no Delete action. The owner (role Owner) cannot be removed. If you try another way, the app answers The owner cannot be removed.
I invited someone but they are not on the All tab. They have not accepted the invitation yet — look on the Invited tab, even if they already have a Doubleros account.
My colleague is on the Invited tab as Awaiting acceptance. They have not accepted the invitation yet. Once they accept it (or sign up through it), the row leaves the Invited tab and they appear on All.
The invitation shows Expired. It is valid for 7 days. In the row, click "…" → Resend invitation — a new link is sent and the old one stops working.
My colleague sees that they are signed in with a different account. Only the account with the e-mail the invitation was sent to can accept it. They should sign out and sign in with the right account.
Error "… is already a member of this organization". A person with this e-mail is already a member of your organization. If they need a different role, change their role.
Error "Only the owner can change the owner role". You are changing the role of a member with the system role Owner and you do not hold it yourself.
Error "You cannot change your own role", "You cannot remove yourself" or "You cannot suspend your own access". These actions cannot be done on yourself; another member with the right permission must do them. In your own Member settings dialog you see You cannot change your own access to the organization.
Error "The last active owner cannot be suspended". The organization must keep at least one owner with active access.
Error "Enter a suspension reason." or "Select a future date and time." When suspending, Reason is required and the automatic restoration date must not be in the past.
The invitee says the e-mail never arrived. Check on the Invited tab that the e-mail is spelled correctly. If it is, use Resend invitation and ask them to check their spam folder. If it is wrong, cancel the invitation and send a new one.
I changed the type to External but the person still sees everything. Member type does not affect permissions. Change their Role to one with only the permissions they need.
After a role change the member does not see the new items. Ask them to refresh the browser page. If nothing changes, check in Permissions that their role is Active — a member with an inactive role has no permissions at all.
